Summary: The Facilities Manager is a highly organized and motivated
individual. This position will be responsible for overseeing the
calendaring of events for the rental of facilities for events held
at both the main church campus and The Annex property. This
position will play a key role in creating a welcoming and enriching
environment for our community and ensuring the success of various
Catholic events. This individual will also serve in a supervisory
capacity over the parish maintenance team. Position
Responsibilities: Event Coordination/Management: · Manages and
maintains a comprehensive calendar of events, including religious
ceremonies, retreats, ministry meetings, social gatherings,
facility rentals, and other community-oriented activities. ·
Oversees the rental process for our facilities to external
organizations and individuals. This involves managing inquiries,
coordinating contracts, overseeing logistics, and ensuring the
facilities meet the specific needs of each event. · Coordinates
with church ministries, event planners, parish staff events, and
vendors to ensure that events run smoothly. · Receives and responds
to rental inquiries in a timely manner. · Schedules facility tours
with potential renters within reasonable meeting hours. Every
effort will be made to accommodate the scheduling needs of the
interested parties. · Responsible for the rental agreement and
rental payment processes from start to finish. · Is present during
rental events at the parish facilities or assigns responsibility to
the Maintenance Worker. · Assesses and makes recommendations on how
to improve upon the rental processes to the Pastor. · Schedules and
manages event budgets. · Oversees the opening and locking up of
rental facilities, ensuring that all security procedures are
followed. · Negotiates and finalizes contractual security hours for
rental agreements with local law enforcement. · Submit invoices,
including security invoices, to the bookkeeper with backup
documentation. · Cultivates and maintains positive relationships
with internal and external stakeholders, including Catholic
organizations, clergy, vendors, sponsors, and community members.
Collaborates with them to enhance experiences and explore
partnership opportunities. · Conducts thorough evaluations of each
event, collecting feedback from participants, stakeholders and
staff. Analyzes data collected and makes recommendations for future
improvements in event planning, programming and execution. ·
Maintains positive relationships with staff, volunteers and
community members who use parish facilities. · Assists with the
planning and coordination all parish-wide events including but not
limited to the parish’s calendaring, Fall Festival and other parish
fundraising events. · Serves as a point of contact with the City of
Helotes regarding permitting and events in the parish that affect
City of Helotes. Parish Maintenance Team: · Manages personnel
specifically assigned to report to the position and is responsible
for recommending hiring, training, performance evaluation,
disciplinary actions, and terminations of direct reports in
alignment with organization policies and in coordination with Human
Resources. · Directly supervises facilities staff, including
custodians, maintenance, and janitorial workers. · Provides
leadership, training, and performance evaluation to ensure
high-quality service and compliance with safety standards. ·
Schedules and assigns daily tasks, projects, and preventive
maintenance activities. · Oversees contracts and vendors performing
building repairs, renovations, or specialization services. ·
Ensures team adherence to parish policies, procedures, and
regulatory requirements. · Meets regularly with parish maintenance
and custodial staff to hear needs of team and projects to be
considered by pastor and finance council · Assembles and assigns
maintenance schedule · Plans and schedules the parish maintenance
team on rental related preparation and take down. · Directs the
implementation of the annual work plan regarding facility
maintenance and upkeep. · Evaluates the methods and procedures used
in performing the maintenance and custodial duties and revises as
necessary. Obtains bids and contracts for work and oversees
fulfillment of contract terms. The Bookkeeper will provide budget
information. Other Responsibilities: · Adhering to risk management
requirements, safety compliance, safety training, active shooter
trainting and protocols on a daily basis and taking precautionary
measure to ensure the safety and well-being of self, others. ·
Responsible for protecting the confidentiality of any information
or material obtained in the service with the organization to
include but not limited to client names and information, services
rendered to clients, donors names and gifts, internal and external
investigations or results of any investigations, and financial
information. · Adherence to the Code of Conduct and the Faith and
Moral Policy is mandatory. · Every employee is required to take a

other duties assigned by priest or parochial vicar. Requirements
Minimum Qualifications: Education High School Diploma or equivalent
or higher Experience Four-six years proven experience in
building/facilities maintenance and same in Events Coordination ·
License and Credentials Reliable transportation and access to daily
use Valid driver license Valid vehicle insurance Minimum Knowledge,
Abilities and Skills: · Must demonstrate ability of serving
collaboratively with other members of the parish staff. ·
Exceptional communication and collaboration skills. · Ability to
work in fast-paced environment. · Complete a safe environment
course and pass criminal background check · Ability to resolve and
reduce conflict. · Strong organizational skills, and the ability to
meet parish goals and deadlines. · Strong interpersonal skills and
the ability to effectively and respectfully communicate to various
levels of office staff, ministry leaders, parishioners and
contractors/vendors. · Ability to work in a team environment,
fostering a positive work environment. · Punctuality and
reliability are a must to ensure efficient, safe, thorough and
timely operation of the custodial/maintenance program. Travel
Requirements: Travel requirements for the position includes 20%
local and 0% overnight. This is not necessarily an exhaustive list
