SUMMARY

Provides People Development (Human Resources) administrative support to retail store and facility operations by performing the following duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

SYSTEM ADMINISTRATION:

  • Responsible for maintaining the overall hiring process for McCoy Corporation new hires in assigned Regions, which can include:
  • Tracking the overall progress and process for each new hire in a manner that they can provide real-time updates on each candidate as to where they are at in the hiring process
  • Submits confidential employment information for background checks and employment verifications on applicants in a timely fashion
  • Investigates and resolves possible background check inconsistencies as applicable to company policy and state law, with assistance from PD Senior Specialist and/or PD Manager
  • Processes new hire employment documentation and complete process workflow in Workday in a timely fashion

  • Responsible for maintaining the qualification processes for McCoy Corporation equipment operators, which includes:
  • Track receipt of required documents including new hires, driver and/or forklift upgrades, post accidents, annual driver review, and certification compliance review. May input information into Workday
  • Submits confidential employment information for background checks, motor vehicle reports and employment verifications on new drivers or driver upgrades in a timely fashion
  • Investigates and resolves possible background check inconsistencies as applicable to company policy and state law, with assistance from PD Manager and/or PD Senior Specialist
  • Track applicable drug screen and/or alcohol results for driver upgrades and post accidents
  • Communicates with store management team, Risk Management & Training when driver process is complete

STAFFING, TRAINING, AND RECRUITMENT:

  • May represent the company by recruiting at job and career fairs as needed to support company hiring needs

GENERAL AND ADMINISTRATIVE SUPPORT

  • Responds in a timely fashion to written and verbal employment verification requests and other requests for employment information. Ensures that only authorized persons receive employment information using our Neutral Reference policy as a guide
  • May assist the PD Senior Specialist in communicating monthly company random drug screen selections and inputting results in the shared random drug screen spreadsheets. May assist with performing random drug screens for Headquarters employees and new hire candidates
  • May assist in responding to unemployment claims and wage verifications unemployment offices
  • Responds to basic and general questions from employees for the purpose of providing information or direction and/or facilitate employee communication with store management
  • Responds to requests from the HQ Supplies database and mail out requested items in a timely fashion
  • Assists other People Development team members in putting together mailings and packets
  • Supports People Development Manager and/or PD Senior Specialist with projects as assigned. Examples of this may include but is not limited to: processing driver document updates, uploading and updating employee photos, and processing employee job abandonment letters
  • Batches and scans new hire and ongoing employment records in to Content Manager
  • Adheres to company purchase card (PCard) guidelines and procedures. Submits monthly PCard expense folders in a timely manner

PD DEPARTMENT AND COMPANY LIASON:

  • Ensures that company employment activities, including compensation and company proprietary information, remain confidential at all times and are not disclosed to unauthorized personnel unless directed by senior PD personnel. Does not disclose or discuss employee matters with employees in other stores or departments, management issues with managers at other stores, etc
  • Follows company policies, procedures, and guidelines while carrying out the responsibilities of position
  • Attends team meetings and company training sessions as required
  • Other duties as assigned and as needed by the business

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities

QUALIFICATIONS

  • Associate's degree (A. A.) or equivalent from two-year college or technical school; or one to two years related experience and/or training; or equivalent combination of education and experience
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations
  • Ability to utilize strong communication skills with the ability to relate with all levels of experience and backgrounds of company employees
  • Ability to utilize strong multi-tasking, organizational, prioritization, and follow-up skills necessary for managing multiple hiring issues at one time in a professional manner and under minimal supervision
  • Ability to utilize Microsoft Word & Excel, Workday, IBM Content Manager, Lawson, and other 3rd party software applications at an intermediate level
  • Basic knowledge of applicable labor laws regarding EEO/AAP, HIPAA, FMLA, ADA, etc

PREFERRED QUALIFICATIONS

  • One to two years of experience working in the retail industry, preferably in the building supply industry
  • Prior or applicable experience in some or all of the following: digital imaging workflow, basic Human Resources processes, and/or general administrative duties

WORK AVAILABILITY

  • Must maintain regular and acceptable attendance at such level as is determined by management
  • Must be regularly available and willing to work at least 8 hours per day, 40 hours per week or such other hours per day or hours per week as the employer determines are necessary or desirable to meet business needs
  • Must be available and willing to work such overtime per day or per week as the employer determines is necessary or desirable to meet business needs
  • Must be available and willing to work such weekends and holidays as the employer determines are necessary or desirable to meet its business needs
